Privacy Policy

Rudy's AI Systems & Integrations ("RAS," "we," "us") builds and hosts websites, AI phone receptionists, booking systems, and related automation for local businesses. This policy explains what personal information we collect through hostbyras.com and the sites we host, why we collect it, and the choices you have.

1. Information we collect

Information you give us

• Contact & demo requests: your name, business name, email address, phone number, trade/industry, and anything you type into the message field.
• Booking requests on sites we host for our clients: your name, phone number, email, requested service, and preferred time.

Information collected automatically

• Standard server and security logs from our hosting provider (Cloudflare), which may include IP address, browser type, and pages requested. These are used for security, abuse prevention, and reliability.

Call information

• Where a business uses our AI receptionist, calls to that business may be processed, transcribed, and summarized so the business can service the request. That business is the owner of its customer data; we process it on their behalf.

2. Cookies & tracking

We do not use advertising or analytics cookies, and we do not use third-party trackers or pixels on this site. Some pages use your browser's local/session storage for strictly necessary functionality — for example, remembering that you entered a passcode for a private preview page. This is not used to track you across sites, and no consent banner is required for strictly necessary storage.

If we ever add analytics or marketing tools, we will update this policy and, where required, ask for your consent first.

3. How we use information

• To respond to your demo request, quote, or question.
• To provide, operate, support, and improve the services a business has purchased.
• To send service-related messages (for example, appointment confirmations and reminders) where you have asked for them or given consent.
• To keep our systems secure and to meet legal obligations.

We do not sell or rent your personal information, and we do not share it for cross-context behavioral advertising.

4. Text messages (SMS)

We only send text messages to people who have provided their number and agreed to be contacted, or to customers of a business we serve for service messages such as appointment confirmations and reminders. Message and data rates may apply; message frequency varies. You can opt out at any time by replying STOP, and reply HELP for help. Opting out of marketing messages does not stop transactional messages you have requested (for example, a booking confirmation).

5. Service providers

We use a small number of vetted providers to deliver the service, and share only what is needed for them to perform their function. These include hosting and network infrastructure (Cloudflare), telephony and messaging (Telnyx), voice AI processing (Vapi), email delivery, and — where a client enables it — payment processing (Stripe). Where a client collects payments from their own customers, those payments run on the client's own payment account; RAS does not hold or process those funds.

6. Data retention

We keep lead and contact information only as long as needed for the purpose it was collected, to run the service, and to meet legal or accounting requirements — then we delete or anonymize it. Clients may request deletion of their data at any time.

7. Your rights & choices

Depending on where you live (including under the California Consumer Privacy Act as amended, and the GDPR/UK GDPR), you may have the right to:

• Know what personal information we hold about you;
• Request a copy of it, or that we correct it;
• Request that we delete it;
• Opt out of marketing communications at any time;
• Not be discriminated against for exercising these rights.

8. When we act on behalf of a business (our clients)

When we host a site or run an AI receptionist for a business, that business decides what is collected and why — they are the "controller" or "business," and RAS acts as their service provider/processor. If you are that business's customer and want your information corrected or deleted, contact the business directly, or contact us and we will pass the request along.

9. Security

We use industry-standard protections including encrypted connections (HTTPS), access controls, and secret management for credentials. No system is perfectly secure, but we work to protect information appropriately for its sensitivity.

10. Children

Our services are intended for businesses and adults. We do not knowingly collect personal information from children under 13.

11. Changes

We may update this policy from time to time. The "last updated" date above reflects the current version.
